Our client, an international company, that provides its activity in Clinical Trial Supply Chain Management, is looking for Administrative Associate .

Position overview :

Perform a wide range of administrative and office support activities for the company and Director to facilitate the efficient operation of the organization.

Implementing administrative systems, procedures, and policies, and monitoring administrative projects. Holder of this position reports to Director of the Company

Responsibilities :

  • perform duties of a receptionist at the company office
  • answer, screen and transfer incoming phone calls
  • accommodate visiting clients and company guests
  • general clerical duties including photocopying and mailing
  • maintain electronic and hard copy filing system, archiving
  • retrieve documents from filing system
  • handle requests for information and data
  • resolve administrative problems and inquiries
  • prepare written responses to routine inquiries
  • general office correspondence, reports, drafts, memos and emails
  • schedule and coordinate meetings, appointments and conferences for Director
  • coordinate travel arrangements for all office personnel
  • coordinate purchase of office supplies
  • record, compile, transcribe and distribute minutes of meetings, if requested
  • open, sort and distribute incoming correspondence
  • any other office-related tasks that may be requested by Director
  • responsible for local rules of labor safety, labor protection and fire safety
  • Candidate requirements :

  • higher education
  • computer skills and knowledge of relevant software (MS Office, Outlook etc.)
  • knowledge of operation of standard office equipment
  • knowledge of clerical and administrative procedures and systems such as filing and record keeping
  • knowledge of principles and practices of basic office management
  • adaptable working style with the ability to establish and reset priorities as the need arise
  • Key Competencies :

  • upper-intermediate level of English (verbal and written)

  • problem assessment and problem solving
  • information gathering and information monitoring
